Connecting your Microsoft Outlook mailbox

What you authorise
Connecting is optional. It takes place on a Microsoft page, where you grant each permission yourself to the « InSighter » application, published by Leonis Consult. We never know your Microsoft password.
- Your profile: name and email address.
- Your emails (read and write): messages received and sent and their attachments; write access is used to prepare your emails, add attachments and send them.
- Sending emails on your behalf, from your own mailbox.
- Your calendar and your Microsoft To Do tasks (read and write).
- Your contacts (read only), to suggest recipients when you type a name: they are read from Microsoft at the time of the search and never copied to our servers.
- Extended access, so that synchronisation continues without you signing in again every day.
What the applications do with it
- They synchronise your emails, calendar and tasks.
- They file each email in the file of the client concerned, based on the address or domain name of the sender or recipients. Emails they cannot match go to the « To file » box.
- They send the emails, documents and invitations you have prepared, only when you click « Send ». The email leaves from your mailbox, with the signature you saved, and appears in your sent items.
- They create or update the appointments and tasks you request.
What they never do
- Send an email without an action on your part.
- Delete anything in your mailbox. Only appointments created from the applications can be cancelled there, at your request.
- Use your emails for any other purpose, or to train an artificial intelligence model.
Who sees your emails
Only you. Even when filed in a client's file, an email is not visible to your colleagues, your firm or the company being followed. One exception: when you leave (below).
The connected mailbox is a business mailbox: do not use it for private correspondence.
How long
- « To file » emails: 30 days, then deleted from our servers.
- An email you delete in the applications: deleted from our servers at once (it stays in Outlook).
- Emails filed in a client file: as long as your mailbox is connected, then according to the file's retention period.
- After you disconnect: your emails remain available to you for 30 days, then are deleted from our servers.
- The access authorisation is deleted as soon as you disconnect or your account is deactivated.
In no case is anything deleted in your Outlook mailbox.
When you leave
When your account is deactivated, synchronisation stops and access to your mailbox is withdrawn. So that the history of exchanges with clients is not lost:
- only your emails filed in a client file and the appointments scheduled in the applications are entrusted to a recovery person: the licence holder of your organisation, or the person they have designated; they alone have access, and they have no access to your Outlook mailbox;
- your unfiled emails, the copy of your calendar and tasks and your signature are deleted from our servers;
- this access lasts twelve months at most, renewable by the licence holder; after that, or if they withdraw it, everything is deleted from our servers. If someone new takes over your seat, these emails are passed on to them.
Where your data is held
In the European Union: database at Supabase (Paris region), applications hosted by Vercel (Paris region). The access authorisation given by Microsoft is encrypted on our servers and never sent to your browser. Full list: our subprocessors.
For your emails, Leonis Consult acts on behalf of the firm or company that subscribed to the applications. Microsoft, your email provider, is not our subprocessor: its own privacy policy applies to the data it hosts.
Withdrawing access
At any time: in the applications (« Disconnect Outlook »), or in your Microsoft account — myapps.microsoft.com for a work account, account.live.com/consent/Manage for a personal account.
